Our bank balance in QuickBooks never matches what's actually in the account

When nobody reconciles the accounts every month, the balance shown in QuickBooks drifts away from the real bank balance. A supply house charge on a card that got paid off twice, a customer deposit that hit the bank but never got logged, or an outstanding check all compound over time into a gap nobody can explain.

Once that gap opens, every report pulled from QuickBooks, including the profit and loss statement your tax preparer relies on to file your return, is built on numbers that do not actually match your bank.

This shows up at the worst time, right when you are applying for a truck loan or filing your tax return, and tracking the discrepancy down transaction by transaction under a deadline usually means paying rush fees to whoever has to fix it.

When someone finally sits down to catch up, everything gets dumped into a generic 'materials' account just to move on, with no link back to the job it was actually for.

That kind of rushed entry means you can no longer tell whether the install crew is buying more copper than the job called for, or whether a specific job actually made money after parts and labor.

Sloppy categorization at year end regularly overstates or understates what you can deduct for parts and truck expenses, and it hides which jobs and which techs are actually profitable, so you keep bidding future jobs the same way you always have and leaving margin on the table.

We're not sure our books would hold up if the state came asking about sales tax

Sales tax on parts sold to a customer works differently than sales tax on labor, and a lot of invoices from ServiceTitan or Housecall Pro do not split those out cleanly when they land in QuickBooks. If the books can't show which portion of each invoice was taxable parts and which was labor, there is nothing to hand over if the state asks.

Books with unreconciled accounts or vague categories make it much harder to prove what was actually charged and collected, even when everything was handled honestly at the time.

In an actual sales tax audit, a shop that can't separate parts from labor on past invoices often ends up owing back tax on the full invoice amount, plus penalties and interest, instead of just the taxable parts portion.
