Our undeposited funds account has a huge, growing balance

Undeposited funds is meant to be a brief holding spot between a customer payment coming in through ServiceTitan or Housecall Pro and the deposit actually landing in the bank. When those payments never get matched to the real deposit, this account can balloon into a balance of tens of thousands of dollars that means nothing.

This usually happens because the payment sync between ServiceTitan or Housecall Pro and QuickBooks Online isn't matched to bank deposits correctly, so payments get recorded twice or left sitting indefinitely.

A large, uncleared undeposited funds balance often means revenue has been double-counted or bank deposits don't reconcile, which can overstate income on the financials the owner uses to decide whether to hire another tech or buy a truck.

Opening balance equity never got zeroed out after we set up the file

Opening balance equity is a temporary account QuickBooks Online creates automatically when beginning balances are first entered. It's supposed to get reclassified to retained earnings or owner's equity shortly after setup, but in a lot of shops' files it just sits there for years.

A lingering opening balance equity balance signals that the initial setup, including recording historical fleet loans or equipment, was never fully finished.

An unresolved opening balance equity account distorts the equity section of your balance sheet, makes retained earnings hard to calculate correctly for tax purposes, and is one of the first things a CPA or lender will question when they look at your file.

Parts and labor are miscoded and sales tax gets filed inconsistently

Bank feed rules in QuickBooks Online can silently misclassify recurring supply house charges month after month, and one-off purchases entered quickly land in generic categories that make the profit and loss statement unreliable. On top of that, sales tax on parts often gets filed one way one quarter and a different way the next, since labor and materials carry different tax treatment.

Over time these small errors compound, and by the time someone reviews the file for a loan application or a sales tax audit, dozens or hundreds of entries need to be traced and corrected.

Widespread miscoding and inconsistent sales tax filing produce a profit and loss statement that misstates true job profitability and can trigger a sales tax assessment or penalty once the state notices parts and labor weren't taxed the same way period to period.
